About the role

As the Operations Assistant, you are not afraid to take the lead when the opportunity comes up, you are able to juggle multiple tasks at the same time and you have a keen eye for analysis. You are great at identifying risks and opportunities across departments and you enjoy helping others and providing creative solutions. If this resonates with you then this job is for you!

What you’ll be doing

  • Acting as second-in-command to the director and taking care of all duties in their absence
  • Attending meetings in-lieu of the director while documenting agreements and next steps
  • Being the point of contact to external and internal department inquiries
  • Collecting, organizing, and communicating information including, but not limited to, construction development KPIs, to report to the director and upper management
  • Monitoring the project schedules and keeping the Project Managers accountable
  • Assisting the project management team in the development and follow-up of site supervisors and site processes
  • Liaising with different departments to improve performance, communication, and work efficiency
  • Assisting the director by doing administrative tasks such as timecard entry, data entry, scheduling meetings, coordinating team building sessions and properly storing legal documents
  • Conducting research on assigned topics such as industry trends or the consumer market in construction and land development and share as required
  • Assisting in the creation of quarterly reports to investors of Westbow Capital

What we’re looking for

  • High school diploma or equivalent
  • Understanding of home construction practices is an asset
  • 1+ years of experience in managing budgets is an asset
  • 1+ years of experience in administrative roles or working in an office environment is required
  • Exceptional analytical skills to shift through high volumes of data and information
  • Strong emotional intelligence and delegation skills
  • Excellent written and verbal communication skills
  • Additional courses in Business Writing and Elocution are an asset
  • A willingness to learn
  • Superb organizational skills
  • Ability to work effectively in a fast-paced environment
